Hello, For some time now, the Microsoft Whiteboard application that I used regularly has stopped working on my computer. Every time I try to turn it on, the application displays a grey screen and I. This guide will show you how use the Microsoft Whiteboard app, which can be used as a standalone whiteboard for lecture notes, or as a collaborative space where students can interact with the whiteboard simultaneously. Sharing the whiteboard as described below will also allow it to be captured as part of the lecture recording.

This guide assumes that you have a tablet capable laptop, that you’ve already joined your Teams meeting, and that you’ve installed the Whiteboard app on your computer.

The Whiteboard app is available for Windows and iOS devices.

  1. From the Teams meeting, click the Share button located in upper-right corner of the window.
  2. From the Share menu, select Desktop Screen #1 (if you’re using different display settings, you may want to choose screen #2 instead)
  3. The desktop of your computer will have a red border around it to signify that Teams is sharing your screen.
  4. Click the Start menu and search for thee Whiteboard app.
  5. The Microsoft Whiteboard app will launch.
  6. Your students will be able to see the whiteboard through the Teams meeting, it will also be visible in the recording of the lecture.

This guide assumes that you’ve completed the steps above of sharing your desktop with the teams meeting, and that you’ve already opened the MS Whiteboard app. These steps will outline how to create a sharable link to your Whiteboard that you can be posted in the chat of your teams meeting.

  1. Click the “Invite Someone” button in the upper-right corner of the Whiteboard app.
  2. Click the More Options menu, then select Create Sharing Link
  3. Toggle Web sharing link to ON, then click the Copy button to copy the link to your clipboard.
  4. Open the Teams meeting window, select the chat, then paste the link and send it.
  5. You’re can click the link to access the Whiteboard.

Office 365 requirements

Microsoft Whiteboard App Free

  • Whiteboard collaboration is only supported in the Office 365 commercial environment and requires Office 365 with cloud-based Azure Active Directory (Azure AD).
  • You can only run collaborative sessions among users belonging to the same Office 365 tenant.
  • Office 365 Germany or Office 365 operated by 21Vianet do not support whiteboard collaboration.

Collaborating with whiteboards

To start a collaboration session:

  1. In the Whiteboard app, tap the Sign in button.
  2. Sign in with your organization ID.
  3. Tap the Invite button next to your name at the top of the app.
  4. Write or type the names of the colleagues you wish to collaborate with.

On the other device, such as a Surface Hub, when you are signed in, the shared board will now appear in the board gallery.

User tips

Microsoft Whiteboard App For Mac

  • Log in to access your whiteboards. As you work, changes are saved automatically.
  • Name your whiteboards to help organize your content and find it quickly. Select the … to open the menu. Select the Options gear icon to access more tools and features of the Whiteboard.
  • Use Ink to shape to turn drawing into actual shapes like circles, squares, and triangles.
  • Use Ink to table to turn a drawn grid into a table with rows and columns.
  • You can also change the background color and design from solid to grid or dots. Pick the background, then choose the color from the wheel around it.
  • You can export a copy of the Whiteboard collaboration for yourself through the Share charm and leave the board for others to continue working.

Tip

If you are using Whiteboard and cannot sign in, you can collaborate by joining a Teams or Skype for Business meeting, and then sharing your screen. After you're done, tap Settings > Export to email or save a copy of the board. If you choose to export to SVG, it exports vector graphics and provides higher resolution than PNG and can be opened in a web browser.
